As Team Administrator, you’ll provide a proactive administrative support service to the London and Southeast Team, to ensure the efficient use of the team’s time and assist them in pursuing their business objectives, as well as supporting the Construction Directors' as their PA.
Key Responsibilities
- Manage the Construction Directors' diary, including arranging travel & accommodation bookings and expense reviews.
- Make travel and accommodation bookings and file expense claims for the L&SE team.
- Provide a first line response for team communications, maintaining up-to-date information.
- Raise and manage Purchase Order requests, working closely with the Delivery Teams and finance to ensure compliance with relevant business processes.
- Manage on and offboarding process for starters and leavers, including arranging inductions and site access for new starters.
- Manage bookings and logistics for site visits across the projects, including liaising with key external stakeholders.
- Support and facilitate the London Power Tunnels 2 (LPT2) ConnectR Engagement programme across South London, including co-ordinating with the ConnectR team to identify volunteering requirements and sourcing those from the project team.
- Organise various meetings, briefings and events as required across the project – including liaising with the LPT2 Enterprise representatives for Enterprise wide events (~200+).
- Provide a minute taking and distribution service for key meetings and coordinate the flow of information, communication and knowledge between the business area and its partner organisations.
- Schedule weekly team calls and manage the agenda.
- Ensure compliance with data handling in line with GDPR and company policies and procedures.
- Assist with SharePoint management and ensure Team documents are filed and stored correctly and updated as required.
- Develop systems and processes as required.
- Provide quality responses to calls received from external contacts using own knowledge and experience and dealing with bespoke data requests.
You’ll be based at the project offices in New Cross, London for 2-3 days per week and this can be combined with hybrid working from home.
What you'll need
- Good working knowledge of Microsoft Office including Word, Excel, and PowerPoint
- Experience in scheduling and attending Microsoft Teams calls.
- Experience with Outlook email and managing multiple calendars.
- Ability to produce of a variety of accurate and appropriate written communication.
- Strong relationship and communication skills with experience of liaising with senior members of staff, internally and externally.
- Good influencing and excellent team working skills.
- A driving licence would be useful for travel to sites but not mandatory.
